- What is HubClerk?
- HubClerk takes the invoices and receipts you already have, reads the key details out of each one, and matches them to the transactions in your Qonto account. Upload them in bulk or have them emailed in automatically. Approve the matches in one click, or let auto-approve attach the confident ones for you, and every file lands as an attachment on the right transaction. No hunting, no renaming, no dragging files one at a time.
- Who is HubClerk for?
- Founders, finance and ops people, and bookkeepers who run their company account on Qonto and end each month with a pile of invoices to attach. It is built for the case where the documents and the transactions both exist already, but nobody has had the time to connect them.
- How is this different from Qonto’s own invoice matching?
- Qonto can match documents that arrive through its own inbox. HubClerk is for the rest: the backlog sitting in your mailbox and Drive, a whole quarter uploaded at once, and the awkward cases: foreign-currency charges, partial payments, credit notes, and several similar amounts in the same week. Every proposed match comes with the reasons behind it, and nothing is attached unless you approve it or it clears your auto-approve bar.
- What counts as a successful sync?
- One invoice attached to one Qonto transaction, whether you approved it or auto-approve did. That is the only thing we charge for. Uploading, reading and matching are free, so proposals you reject, invoices held for review, duplicates and anything HubClerk could not place cost you nothing.
- Are there seats, packages or minimums?
- No. Invite as many colleagues as you like; the bill depends only on how many invoices were actually attached. There is no monthly minimum and no commitment. In a quiet month where you sync nothing beyond the free fifty, you pay nothing.
- How does the free allowance work?
- The first 50 successful syncs in each calendar month are free, for every account, every month. Beyond that each successful sync is €0.50 and you are billed at the end of the month for what you used. We show your running count in the app, so the amount is never a surprise.
- What does HubClerk read from an invoice?
- Supplier, invoice number, issue date, net, VAT and total, taken from the document itself rather than the file name, so the layout of each supplier’s template does not matter. Supported formats are PDF, JPG and PNG, including scans and phone photos, up to 20MB per file.
- How does the email inbox work?
- Every account gets its own HubClerk email address. Set up an auto-forward rule in Gmail or Outlook, or forward an invoice by hand, and everything that arrives is read and matched just like an upload. You can still upload in bulk whenever you like.
- What is auto-approve?
- An optional setting for hands-off filing. At the end of each day, HubClerk attaches the strong matches in Qonto for you and keeps the weak ones in your review queue. With it off, nothing is attached until you approve it.
- Does HubClerk change my transactions?
- No. HubClerk only ever adds attachments. It does not edit, categorise, move or create transactions, and it never initiates payments. The Qonto connection is made with official OAuth and asks only for the permissions needed to read your transactions and upload attachments. You can revoke it from Qonto at any time.
- What happens when a match is not certain?
- It is held rather than guessed. Uncertain invoices are put in a review queue where you can see the candidate transactions side by side, pick the right one, or skip the invoice entirely. Nothing reaches Qonto until it is approved: by you, or by auto-approve for strong matches only, if you have turned it on. Every sync is recorded in your audit log.
